Project Approval Process

All exterior homeowner projects must be approved by the Design Review Committee, whether the work is done by the homeowner or a contractor. The process for having a project approved is as follows:

  • Fill out a Project Application Form (all three pages must be completed.)
  • Submit the completed form with any necessary drawings, pictures, or other helpful documents to designreview@lokahimakai.com and christinah@hmcmgt.com. You may also mail it to Hawaiiana Management Company 74-5620 Palani Rd # B, Kailua-Kona, HI 96740, Attn: Christina Hirazumi.
  • This will be received and reviewed by Christina Hirazumi at Hawaiiana for completeness.
  • Your application will be forwarded to the Design Review Committee (DRC) for review.
  • The DRC contacts the homeowner to discuss the application, to answer any questions, and to schedule a site visit, if necessary.
  • During its review period the DRC may request changes to the project to bring it in line with the Lōkahi Makai Design Guidelines.
  • The DRC has 45 days to approve or disapprove a project request. No work shall begin until the project has been approved.
  • Once the DRC approves of the project, they will inform Christina Hirazumi of the approval and instruct him to collect any applicable deposit.
  • The homeowner mails or drops off the deposit at the Kailua-Kona Hawaiiana office.
  • Once the deposit is confirmed (if applicable), the homeowner receives a project approval letter from Christina Hirazumi.

When the project is complete:

  • The homeowner informs Christina Hirazumi at christinah@hmcmgt.com.
  • Christina will notify the DRC, which may require a physical inspection of the site.
  • When the DRC is satisfied that the project is complete, all construction debris has been removed, and that any common area affected has been restored to its pre-project condition, it will give the homeowner a verbal confirmation of project completion.
  • The DRC will then instruct Christina to return the homeowner deposit, less any amount held back for cleanup or damage repair.

Note: While every effort will be made on the part of the DRC and Hawaiiana to adhere to these procedures, there are times when events beyond our control may force us to alter them. The best way to ensure that projects are reviewed and accepted is to keep the lines of communication open with the DRC and Christina Hirazumi.
